Branch Rules

The Consett and District Sunderland Supporters Association have adopted the "Branch Rules" of the Sunderland Supporters Association.

1. Financial year

1.1 The Supporters’ Association (SA) year shall run from 1 July to 30 June. Once in every year the accounts of the SA shall be prepared for presentation at an Annual General Meeting. 

2. The Committee

2.1 The Committee shall exist of not less than four (4) and not more than eight (8) members not including sub committees, elected by the membership. 

2.2 The Committee members will be fully subscribed members and be prepared to be actively involved in the activities of the SA. 

2.3 Nominations for election to the committee shall be received by the secretary with the name of the proposer and seconder seven days prior to the appropriate meeting. 

2.4 The Committee will have the power to co-opt members to serve on the Committee.

2.5 Any Committee member who fails to attend three consecutive monthly meetings or fails to attend the Annual General Meeting without receipt of apology shall be deemed to have resigned. 

2.6 The Committee shall meet on a regular basis. 

2.7 The Committee shall have the power to create sub-committees for specific purposes. 

3. Annual General Meetings and Extraordinary General Meetings 

3.1 An Annual General Meeting of the SA shall be held in each year at such a time and a place as the Committee shall determine, but within one (1) month of the end of each financial year. 

3.2 Twenty-one days’ prior notice of the Annual General Meeting of the SA shall be given to all the SA members. Fourteen days’ prior notice will be given for Extraordinary General Meetings. 

3.3 At the Annual General Meeting of the SA, each committee member may offer themselves for re-election or resign. Co-opted members will automatically retire but may offer themselves for re-election. In the event of more than 8 adult members wanting to be on the committee then a ballot will be held and the eight (8) with the highest votes will be deemed to have been elected. 

3.4 Extraordinary General Meetings shall be held at such times as determined by the Committee, or by written request by 30% of the SA membership. 

3.5 At any meeting, other than the Annual General Meeting, voting will be done by a show of hands or by ballot paper, whichever procedure is deemed more suitable by the Chairman. The Chairman shall have no vote, except the casting vote in the case of a tie. 

3.6 At the Annual General Meeting election of officers will be via ballot and proxy vote. The Chairman shall have no vote except the casting vote in the case of a tie. 

3.7 Voting will be subject to one vote per member. 

4. Supporters Association Meetings 

4.1 The SA shall meet at least eight (8) times in a calendar year at least one (1) on a match day with others being midweek evening on a non-match day. 

4.2 The Committee shall authorise persons or organisations to attend its meetings. 

5. Membership

5.1 Membership is only open to anyone recognised by Sunderland Association Football Club and the SA who:
a) Is a supporter of Sunderland AFC
b) Agrees to behave in a professional and courteous manner and be bound by the rules of the SA
c) Is not subject to any football or other supporters’ association related ban or disciplinary action.

5.2 Members are to pay an annual subscription of such a sum and payment method as the SA may decide at the Annual General Meeting.

5.3 Membership shall be renewable annually from July of each calendar year. 

5.4 Where a payment made by a members is by cheque and is for any reason dishonoured upon presentation, then, in addition to making good any payment still due, the member concerned will be liable to meet any administrative or bank charges incurred by the SA in consequence of the cheque not being met at the first attempt. 

5.5 No member may use the name or title of the Consett Sunderland AFC Supporters Association without the authority of the SA Committee. 

6. Officers

6.1 The SA shall elect a Secretary, Chairman, Treasurer, Vice Chairman and such other officers as they deem necessary from amongst its elected members to a maximum Committee of up to eight. 

7. Quorum

7.1 The Quorum at the SA meetings shall not be less than three (3) committee members (one of which must be the Chairman or Secretary). 

8. Finance 

8.1 The SA shall have a general account at a Bank to be determined by the Committee and all cheques drawn on that account shall bear at least two of the signatures of the Treasurer, Secretary and Chairman. 

8.2 Separate accounts maybe opened for specific purpose at the discretion of the Committee, provided that a minimum of two signatures is always required. 

9. Alterations to the Rules

9.1 Alterations to these rules may only be made at the Annual General Meeting. Any proposed changes should be received in writing to the secretary within (1) month of the Annual General Meeting. 

10. Expulsion from the Committee

10.1 Any expelled committee member will be ineligible for re-election for a period as determined by the Committee. 

10.2 The decision will be given to the expelled member in writing, along with their right to appeal against the expulsion. 

11. Expulsion or suspension from the Supporters’ Association

11.1 Any expelled or suspended member will be ineligible to use the services of the SA for a period as determined by the Committee. 

11.2 The decision will be given to the expelled or suspended member in writing, along with their right to appeal against the expulsion. 

12.0 Unspecified Matters

12.1 Any matter not covered by the above rules shall be dealt with by the SA Committee.



Privacy Policy

Consett Sunderland AFC Supporters Association “Consett SAFCSA” take your privacy very seriously and is committed to protecting your personal data and handling it responsibly.

This policy sets out how Consett SAFCSA use and look after the personal information collected from you.  

We collect information whenever you interact with us and this interaction includes but is not limited to when you attend a football game or such other event, when you use our website, when you buy a ticket via Consett SAFCSA, when you travel with Consett SAFCSA, or just get in touch with us.

What personal data we hold on you

Personal data means any information about an individual from which that individual can be identified.   
We collect, use, store and transfer some personal data of our participants and their parents or guardians, and other Consett SAFCSA members.  

We are the data controller, responsible for the processing of any personal data you give us.  

We take reasonable care to keep your information secure and to prevent any unauthorised access to or use of it. 
 
You provide information about yourself when you register with Consett SAFCSA and by filling in forms at an event or online, or by corresponding with us by phone, e-mail or otherwise.

The information we collect includes:

- Your name, date of birth, address, e-mail address, phone number, gender, SAFC membership number and the contact details of a third party in the case of emergency
- Browser and device information
- Track information about attendance at events or travel
- Information about your use of the Consett SAFCSA website and social media
- Photo or video footage of events (we will only do this if you are over 13 and we have your consent or you have provided consent) 
Where we need to collect personal data to fulfil Consett SAFC responsibilities and you do not provide that data, we may not be able honour or administer your membership. 

Why we need your personal data

We will only use personal data for any purpose for which it has been specifically provided.
The reason we need participants’ and members’ personal data is to be able to run the supporters’ association; to administer memberships and provide the membership services you are signing up to when you register with Consett SAFC.  
We have set out below a description of all the ways we plan to use your personal data, and which of the legal bases we rely on to do so. We have also identified what our legitimate interests are where appropriate. 
Legitimate interest 
- We process your personal data when necessary to pursue our legitimate interests in the following:
- Enforce membership rules
- Responding to comments or complaints
- Receipts for ticket purchases made
- Sharing data with committee members to provide information about Consett SAFCSA activities, membership renewals or invitation to social events. 

You have a right to object to any processing that we undertake for our legitimate interests.  

Legal obligation

We are legally required to process your personal data in cases where we need to comply to a legal obligation to which Consett SAFCSA is subject under UK or EU Law.  

This may include:
- Responding to requests by government or law enforcement authorities 
Performance of a contract
Where we have a contract with you we will rely on the contractual provisions in order to process your personal data.  
This may include: 
- Processing membership forms and payments/ subs 
- Organising events
- Sending out match or Club information and updates

Consent

Wherever we rely on consent to process your personal data you can withdraw your consent at any time by writing to us at the email address below.  

You will have opted-in to receive information about Consett SAFCSA in the form of a newsletter or email and such will contain offers, promotions or information specifically relating to Consett SAFCSA.  

We will only ever send you information that you have requested to receive by email.

Protection of your personal data

We have put in place appropriate security measures to prevent your personal data from being accidentally lost, used or accessed in an unauthorised way, altered or disclosed.

How long we hold your personal data

We keep personal data on our participants and members while they continue to be a participant or member or are otherwise actively involved with Consett SAFCSA and for a limited period of time afterwards (in case, for example, you decide to reactive your membership). We will delete this data after a participant or member has left or otherwise ended their membership or affiliation, or sooner if specifically requested and we are able to do so. We may need to retain some personal data for longer for legal or regulatory purposes.

Your rights regarding your personal data

As a data subject you may have the right at any time to request access to, rectification or erasure of your personal data; to restrict or object to certain kinds of processing of your personal data, including direct marketing; to the portability of your personal data and to complain to the UK’s data protection supervisory authority, the Information Commissioner’s Office about the processing of your personal data.

We may update this Privacy Notice from time to time, and will inform you to any changes in how we handle your personal data but we advise that you check by on this page for any changes from time to time.
